Recording Botanical Identity on an Essential Oil Purchase Order
Build a purchase record that preserves the material identity you agreed, rather than relying on a familiar common name.
Link each essential oil purchase-order line to an approved material code and specification version. Record the supplier-confirmed botanical name, plant part and extraction description exactly as supported, with unresolved fields clearly marked. Use the common name for recognition, while the controlled specification defines the proposed material.
Give the common name a supporting role
A buyer may begin a conversation with a short name such as lavender or cedarwood. That is a useful search term, but a purchasing record needs enough detail to distinguish the proposed material from other offers using a similar name. Preserve the supplier's exact product description alongside your own internal code. Do not silently replace a detailed description with a shorter marketing name when moving from the quotation to the order.
Set up one controlled identity record and refer to it from commercial documents. This prevents a sales spreadsheet, an artwork file and a purchasing system from becoming three competing descriptions. If a field has not been established, keep it open and assign someone to resolve it before the relevant approval. A blank field is a question to manage; a plausible guess can become an unnoticed purchasing instruction.
Copy supported identity fields without expanding their meaning
Ask the supplier to identify the botanical name, plant part and extraction or processing description for the proposed supply. Where an INCI description, origin requirement or another identity attribute matters to your project, include a dedicated field and its supporting reference. Copy the verified wording rather than adding a more specific species or process from a web search, an older label or another supplier's catalogue.
Keep the source and reviewer beside the value. For example, a value may be supported by a particular supplier specification, while another remains subject to clarification. Distinguish information supplied for discussion from information your team has accepted for the order. This is an information-management method, not a claim that a named document or botanical description is available for every PanPan Aroma candidate.
Use a compact identity block on every order line
The following field block can live in your purchasing system or in a specification attached to the order. It is a template, not the specification of a real oil. Keep commercial pack sizes separate so a change from bulk material to filled bottles does not accidentally create a new material identity or erase the original one.
- Buyer material code and supplier product code; common name and material category
- Confirmed botanical name; plant part; extraction or processing wording
- Concentration or carrier information where relevant; any required origin description
- Specification number and version; supporting file reference; reviewer and decision date
- Unresolved identity questions; responsible person; order approval condition
Make alternatives and substitutions visible
Suppose two hypothetical offers use the same common name, but Offer A supplies a complete identity description and Offer B leaves the plant part unresolved. Do not place both under an approved material code simply because their sample aromas are similar. Record Offer B as an alternative awaiting clarification. Once the information arrives, review whether it matches the original requirement or needs a distinct code and approval.
Apply the same rule to changes after quotation. If a supplier proposes a different botanical identity, processing route or preparation, ask for an explicit change record. Identify which sample, documents, label text and commercial assumptions must be reviewed again. Avoid an order instruction allowing an unspecified equivalent when your brand depends on a particular identity. Any acceptable alternative should be described and agreed rather than left to interpretation.
Carry the approved identity through the project handover
Before order approval, compare the identity block with the quotation, approved sample reference and proposed artwork. The wording need not be identical in every customer-facing location, but it should not contradict the controlled specification. Ask the team receiving the goods which supplier and material identifiers will appear on the delivery records so incoming material can be connected to the order without guessing.
For a PanPan Aroma enquiry, send the identity requirements you already know and flag the fields you need help clarifying. PanPan Aroma acts as a supplier and project coordinator working with partner manufacturers; the selected material and supporting records must be reviewed for that project. A clear purchase-order reference makes later conversations about samples, filling and repeat orders more precise.
Common questions
Should I fill in a botanical name from a similar product online?
Use it as a question for the supplier, not as a confirmed purchasing value. The order should identify the proposed supply using reviewed evidence, with the source and specification version retained.
Can different bottle sizes share one material code?
They can if the underlying material specification is the same and your records separately identify each packaging configuration. Make the relationship explicit rather than combining liquid identity and bottle size in one ambiguous description.
What if the quotation and specification disagree?
Keep the affected order line open and request a corrected, aligned set of references. Record which version supersedes the earlier document before releasing the order.
